Yapsody's Add-ons feature lets you sell merchandise and other items alongside event tickets. You can offer products such as T-shirts, snacks, and other event-related items, then use Yapsody's reports to track purchases and manage fulfillment.
This article explains how to create add-ons, link them to your events, configure their availability, and manage active and archived add-ons. It also answers common questions about fees, checkout, refunds, and inventory.
Video Guide
Watch the video below to learn how to set up and link add-ons to your event.
Before You Start
- Add-ons incur Yapsody fees based on your account's General Admission (GA) fee structure.
- By default, add-on fees are passed on to the ticket buyer, but you can choose to absorb them.
- Customers must purchase a ticket to buy add-ons.
- You can control the number of add-ons customers can purchase per order and when add-ons appear during checkout.
- You can control add-on visibility based on selected ticket types or colors.
- Only active add-ons can be selected when configuring an event.
- Archiving an add-on prevents it from being selected for future event configurations. Existing purchases and historical records remain unchanged.
Part 1: Create Add-ons
Step 1: Open Add-ons
Hover over your organization name in the upper-left corner and select Add-ons from the dropdown menu.
Step 2: Create an Add-on
Click Create Add-ons.
Step 3: Enter the Add-on Details
Complete the required fields:
- Add-on Name: Enter the product name, such as T-shirt or burger.
- Description: Add a brief product description. Descriptions can be up to 500 characters.
- Terms & Conditions: Add terms and conditions if applicable.
- Image: Upload an image of the product.
- Passing of Add-on Fees: By default, fees are passed on to the buyer. Select the option to absorb the fees if you prefer to cover them.
- Price & Quantity: Enter the product price and available quantity.
Step 4: Set Up Variations (Optional)
If your add-on comes in different sizes, colors, or other variations, enable This Add-on has variation.
- Click Add Variation.
- Enter the variation name, price, and quantity.
- Repeat for each variation.
- Click Create when you're finished.
If your add-on doesn't have variations, enter the price and quantity, then save it.
Step 5: Configure Add-on Settings
Use Add-ons Settings to control how many items customers can purchase and when add-ons appear during checkout.
Available options include:
- Limit by Ticket Quantity: Limits the number of add-ons based on the number of tickets purchased.
- Minimum & Maximum: Sets the minimum and maximum quantity allowed per order.
- Unlimited: Allows customers to purchase without a configured quantity limit.
- Display Add-on When: Controls when add-ons appear based on the number of tickets selected.
For example, if you set a minimum of 2 and a maximum of 4, the add-on will appear only when the customer selects between 2 and 4 tickets.
Part 2: Link Add-ons to an Event
Creating an add-on does not automatically make it available for an event. You must link it to the event separately.
Step 1: Open Event Settings
Go to Box Office, select your event, and click Edit.
Step 2: Open the Add-ons Settings
Click Customize → Add-ons → Add Add-ons.
Step 3: Select Add-ons
On the Manage Add-ons page:
- Use Choose Option to select an existing add-on.
- You can also create a new add-on from this page.
Note: You cannot edit the price or quantity of an existing add-on from this page. Update the add-on through the main Add-ons area instead, if that option is available for your account.
Step 4: Configure Event-Level Settings
Configure the add-ons for your event:
- Add-ons Permitted per Order Online: Override the general add-on quantity settings for this event.
- Taxes: Enable taxes if applicable, based on the event's tax settings.
- Availability: Choose whether add-ons are available through the Box Office, online, or both.
Taxes are applied to add-ons when taxes are enabled for the event. For instructions, see How to Create or Apply Taxes.
Step 5: Control Add-on Visibility
Select the ticket types or colors for which each add-on should appear, then save your settings.
Step 6: Confirm Your Setup
Once saved, your add-ons will appear during checkout according to the settings you've configured.
Part 3: Archive and Restore Add-ons
You can archive add-ons that you no longer need without deleting existing bookings, purchases, transactions, or historical records.
View Active and Archived Add-ons
Use the status filter on the Add-ons page to view:
- Active: Add-ons available for future event configurations.
- Archived: Add-ons that are no longer available for future event configurations.
The page displays active add-ons by default.
Archive an Add-on
- Open the Add-ons page.
- Find the add-on you want to archive.
- Click the Archive icon.
- Review the confirmation message.
- Confirm to archive the add-on.
Archiving affects future availability only. It does not delete or modify existing bookings, purchases, transactions, or historical records.
Restore an Archived Add-on
- Open the Add-ons page.
- Change the filter to Archived.
- Find the add-on you want to restore.
- Click the Restore icon.
Restoring an add-on makes it available for future event configurations again. It does not automatically link the add-on back to events from which it was previously removed. Open each relevant event's settings and configure the add-on again as needed.
